Employer Documentation Guide for Hiring Indonesian Domestic Helpers in Malaysia

1.1 When hiring an Indonesian domestic helper in Malaysia, employers must comply with documentation requirements set by the Malaysian Labour Department (JTK) and the Immigration Department. The required documents will vary depending on the following factors, which are assessed prior to application during eligibility screening:
The employer’s marital or civil status (e.g. single, married, divorced, widowed)
The purpose of hire, such as childcare, elderly care, or housekeeping
The number of foreign domestic helpers already employed within the same household

Hiring an Indonesian Domestic Helper for Childcare
2.1 Personal Documents
Two (2) passport-size photos of the employer (blue or white background)
One (1) copy of the employer’s NRIC (front and back)
One (1) latest utility bill showing the residential address in the statement header (TNB/Air Selangor bills also accepted)
2.2 Hiring Justification Documents
One (1) copy each of the child’s Birth Certificate and MyKid (child must be under 15)
Two (2) passport-size photos of the child (blue or white background)
If expecting your first child: one (1) doctor’s letter from a government or specialist hospital confirming pregnancy
2.3 Civil Status Documents
If Married:
Two (2) passport-size photos of the spouse
One (1) copy of spouse’s NRIC (or passport + visa if foreign)
One (1) copy of marriage certificate
If Divorced:
One (1) copy of marriage certificate
One (1) copy each of divorce certificate and court order granting custody of children
If Widowed:
One (1) copy of marriage certificate
One (1) copy of spouse’s death certificate
3. Hiring an Indonesian Domestic Helper for Elderly Care
3.1 Personal Documents
Two (2) passport-size photos of the employer (blue or white background)
One (1) copy of the employer’s NRIC (front and back)
One (1) latest utility bill showing the residential address
3.2 Hiring Justification Documents
One (1) passport-size photo of the elderly person
One (1) original doctor’s letter from a government or specialist hospital confirming the elderly person’s medical condition
If the elderly person is the employer’s parent: (i) One (1) copy of employer’s birth certificate (ii) One (1) copy of parent’s NRIC
If the elderly person is the spouse’s parent: (i) One (1) copy of spouse’s birth certificate (ii) One (1) copy of parent-in-law’s NRIC
3.3 Civil Status Documents
(Refer to same breakdown under the previous “Childcare” section)
Hiring an Indonesian Domestic Helper for Housekeeping
4.1 Personal Documents
Two (2) passport-size photos of the employer (blue or white background)
One (1) copy of the employer’s NRIC (front and back)
One (1) latest utility bill showing the residential address
4.2 Hiring Justification Documents
Submit the following photos as proof of household size: (i) House front with visible house/unit number; (ii) Interior of the house/unit; (iii) Street signage near the property; (iv) If living in a condominium; (v) include photos of the guardhouse and building exterior
4.3 Civil Status Documents
(Refer to same breakdown under “Childcare” section +1)
Income Documents (Applicable to All Hiring Scenarios)
5.1 Minimum Household Income Requirement:
RM7,000/month for hiring one (1) Indonesian domestic helper
RM14,000/month for hiring two (2) helpers
5.1 If Married and Working in Malaysia:
Option A:
Latest e-BE Form (Employer and Spouse, if applicable)
e-Filing confirmation from LHDN
Tax payment receipt (if applicable)
Option B:
Latest EPF contribution statements (Employer and Spouse)
Latest three (3) months’ salary slips (Employer and Spouse)
5.2 If Single, Divorced, or Widowed and Working in Malaysia:
Option A:
Latest e-BE Form
e-Filing confirmation from LHDN
Tax payment receipt (if applicable)
Option B:
Latest EPF contribution statement
Latest three (3) months’ salary slips
5.3 If Working Abroad / Outside Malaysia:
Latest three (3) months’ salary slips certified by the employer’s HR department
Employment verification letter (signed and stamped by HR/Manager or Certified True Copy)
Latest tax statement from the overseas Inland Revenue Department
